Accounts Payable and Payroll Coordinator

Lycée Louis Pasteur – Calgary, AB

Full-time position

Founded in 1966, the Lycée Louis Pasteur is a non-denominational private French school. It is the only pre K to Grade 12 school in Western Canada both accredited by the French Ministry of Education and Alberta Education. We are currently in search of a part-time Bilingual Admissions Assistant.

Reporting to the Accounting Manager, the Accounts Payable and Payroll Coordinator is responsible for the preparation of the payables and payroll functions of the Lycée.

The duties of the Accounts Payable and Payroll Coordinator include:

  • Organize and safe guard all payments to the LLP;
  • Prepares the bank deposits;
  • Prepares bank drafts as necessary;
  • Receives and verifies invoices and requisitions for goods and services;
  • Verify that payable transactions comply with financial policies and procedures;
  • Prepare batches of invoices for data entry;
  • Enter invoices for payment;
  • Manage the weekly cheque run;
  • Record all invoices into accounting software;
  • Prepare vendor cheques for mailing;
  • Prepare manual cheques when required;
  • Maintain listing of accounts payable;
  • Ensure timely payment of all payables;
  • Maintain and update vendor files;
  • Archive payables yearly;
  • Collect and maintain confidential employee data;
  • Calculate benefits and verify established salaries;
  • Verify pay amounts, hours of work, deductions and other transactions related to bi-monthly payroll;
  • Verify payroll coding to general ledger and obtain the necessary signatures;
  • Prepare pay sheets for data entry into the general ledger;
  • Enter payroll information into the human resource database;
  • Distribute pay cheques and pay stubs;
  • Prepare and distribute T4, T4A, ROE and RRSP slips to employees;
  • Record and verify all absences (personal, sick, vacation, professional development and other);
  • Prepare annual report for Worker’s Compensation Board;
  • Facilitates the enrollment of employees into the group benefits plans and retirement benefits;
  • Prepare calendar and year end reports related to payroll;
  • Maintain master bond file;
  • Issue promissory note for enrollment bonds;
  • Calculate and record monthly attendance for daycare student and staff for submission to Alberta Child Care Services(ACCS);
  • Prepare annual grant reporting to ACCS;
  • Other duties as requested by the Accountant.

Qualifications and Competencies:

  • Bachelor’s degree or diploma in accounting;
  • Pursuing a professional accounting designation;
  • Minimum of 2 to 3 years in a similar accounting role;
  • Exposure to audit cycles is a bonus;
  • Speak, write and read in French and English;
  • Fine attention to detail and prides themselves on accuracy;
  • Self-starter, able to establish priorities and organize daily workload with minimal direction;
  • Good interpersonal skills, excellent verbal and written communication skills;
  • Ability to multitask and is a solid team player with the ability to meet defined deadlines;
  • Intermediate to advanced knowledge of Windows programs with emphasis on MS Office, Excel, Word, Outlook, and PowerPoint.

Substitute Daycare Assistant

Founded in 1966, the Lycée Louis Pasteur is a non-denominational private French school. It is the only pre K to Grade 12 school in Western Canada both accredited by the French Ministry of Education and Alberta Education.

Reporting to the Child Care Coordinator, the Daycare Assistant is responsible for assisting the Maternelle teacher with the teaching, preparing and delivering subject matter to students at the Lycée. The Daycare Assistant will liaise with Maternelle teachers, coordinators and administration as necessary. Daycare Assistants have a critical role in executing the mission, vision and philosophies of Lycée Louis Pasteur.

The duties of the Daycare Assistants include but are not limited to:.

  • Assist the homeroom teacher with the preparation of teaching materials and classroom organization;
  • Supervise 3 to 5 year-old students during class, before and afterschool programs, recess and class transition;
  • Attend faculty, instructional leaders and school meetings.
  • Attend and participates in professional development;
  • Present professional development for teachers and staff;
  • Serve on curriculum and standards committee;
  • Engage in collaboration with teachers and staff;
  • Engage in the events of the community;
  • Participate in onsite or offsite French lessons as required and requested.

Required skills:

  • Strong classroom management skill;
  • Solid understanding and appreciation of the philosophy and unique goals of Lycée Louis Pasteur;

Reporting to the Head of School, the Maternelle teacher is responsible for teaching, preparing and delivering subject matter to students at the Lycée. The Maternelle teacher will liaise with primary teachers, coordinators and administration as necessary. Teachers have a critical role in executing the mission, vision and philosophies of Lycée Louis Pasteur.

The duties of the Maternelle teacher include but are not limited to:

  • Plan and discuss educational program with administrators;
  • Follow the regulations in respect of Licensing, Accreditation and other Child Care Claims from Alberta Human Services;
  • Teach to students in accordance with Alberta Education standards (5YO program only);
  • Teach to students in accordance with The Minister of French Education standards;
  • Develop lesson plans and instructional materials;
  • Individualize instruction in order to adapt the curriculum to the needs of each student;
  • Establish and maintain standards of student behaviours needed to achieve a functional learning environment in the classrooms;
  • Evaluate students on an ongoing basis;
  • Take a leadership role in promoting the curriculum in school and throughout the community;
  • Selects and requisitions books and instructional aids; maintains required inventory records;
  • Supervise students out of classroom as required;
  • Administrator standardized Alberta Education testing and Ministry of France testing;

Teachers have a critical role in executing the mission, vision and philosophies of Lycée Louis Pasteur.

The duties of the PE teacher include but are not limited to:

  • Plan and discuss educational program with administrators;
  • Teach to students Physical Education in accordance with Alberta Education standards;
  • Teach to students Physical Education in accordance with The Minister of French Education standards;
  • Develop lesson plans and instructional materials;
  • Individualize instruction in order to adapt the curriculum to the needs of each student;
  • Establish and maintain standards of student behaviours needed to achieve a functional learning environment in the classrooms;
  • Evaluate students on an ongoing basis;
  • Take a leadership role in promoting the curriculum in school and throughout the community;
  • Selects and requisitions physical education equipment; maintains required inventory records;
  • Supervise students out of classroom as required;
  • Administrator standardized Alberta Education testing and Ministry of France testing;
  • Serve on curriculum and standards committee;
  • Attend faculty, instructional leaders and school meetings;
  • Attend and participates in provincial and national associations and conferences;
  • Present professional development for teachers and staff;

  • Individualize instruction in order to adapt the curriculum to the needs of each student;
